Journal Entry Import

 

The Journal Voucher Import enables Journal vouchers to be imported.  Any time a journal voucher is being keyed from a spreadsheet, consider whether the spreadsheet can be saved in text, or CSV (comma separated values) format and imported.  The savings in time and errors can be significant.  If the G/L account appears in full without dashes in one cell on a spreadsheet, and if the amount appears in a single column whether debit or credit, chances are the data is well on the way to being in an importable format.

When Journal Vouchers are imported, they will not automatically be sent for approval. Follow the steps below to ensure the exported journal vouchers are sent for approval. Also, refer to the Journal Voucher and Journal Voucher Approvals submodules for more information.

 

1. After the journal voucher import is complete, click on the View Final Import button to find out the voucher number that has been created. 

 

2. Go to Journal Entry>Journal Voucher and look for that journal voucher on the journal voucher management landing page. 

 

3. Click on the Action drop-down menu for that voucher and select Send for Approval. The system will then prompt for the approver name, offering a drop-down list of all K212 Finance journal voucher approvers from which to choose.

 

4. Select the user.

 

5. Add a note in the New Note field (optional) and click OK to send the voucher for approval.

 

6. Once the journal voucher has been approved, it will become a journal entry that will be visible elsewhere in the system (e.g. Budget Query).
