Fields and Field Labels
Data in K212 HRP is displayed on the screen in “fields”. Each field is identified by it’s field label.
Field Labels
•Field labels usually appear directly above the field they refer to and display the following features:
•They end with a colon (:) or a question mark (?)
•They display in bold font for mandatory fields
•In many cases, when you hold the cursor over a label, a ‘tooltip’ containing useful information relating to that field will be displayed.
•Note: Sometimes a field will change from regular font (not mandatory) to bold (mandatory) when you enter specific values on another field, on the same screen.
Labels in Lists
•Field labels in lists of data:
•Do not end with a colon (:)
•End in a question mark (?) for Yes/No questions only.
•Do not display in bold font if they are mandatory

Tool Tips
Tool tips appear when you hold the mouse over certain field labels. They provide information specific to a field.
Field Styles
There are three general styles for fields, as follows.
1. Editable fields (these may be Mandatory or Optional):![]()
2. Non-Editable fields (these may be Mandatory or Optional but are currently disabled). Eg: In some cases editable fields cannot be updated after saving. Therefore, once saved, they take on the appearance of “Disabled” fields:![]()
3. View only fields (which can never be manually entered on that screen):![]()
Note: the actual colour and style may vary, depending on the desktop settings of your individual computer.
Field Types
There are several distinct types of data stored in K212 HRP. The most common are plain text fields (eg. used for storing a name) or numeric fields (used for storing a number). Some more specialized field types are described below.
Date Picker
Dates are displayed by in the following format YYYY/MM/DD.

To enter a date:
Type the eight digit date in the format YYYYMMDD. Do not type the slash (/) when entering dates; these are automatically inserted by K212 HRP.
Display the calendar (press F4 or click on the drop down arrow) then click on any date in the calendar (you can also navigate through the months by clicking on the left and right arrows).

Dates which include the month and year only are displayed by the system in the following format YYYY/MM and are contained within one control as shown below:

Drop Down List
You can use any of the following options to select from a drop down list:
Type the entry (ignoring the drop down list)
Enter the first few character(s) that identify the selection, use the arrow key to highlight the correct option (if required) and then press Enter
Click on the drop down arrow

When appropriate, a pop up window showing a list of options (see Pop Up List below) is available.
Note: Province fields differ from all other drop down lists in that they allow selection from a list of 2 character province abbreviations, but also allow the user to enter free text in the field if they wish. In all other drop down lists, the user is restricted from entering text other than those available on the drop down list.
Lists of Data
On many screens, K212 HRP contains lists of data (or “data grids”) of information. These are used when the same fields are being shown for multiple records on the screen at one time.
Data Grid Features:
Field headings are displayed at the top of each column and the data records are displayed in rows below the headings
You can sort a list in the order of a particular column by clicking on that column heading
The default sort order of a list includes descending date order when applicable
Each list is displayed in its own Screen Element
Right clicking on the list shows a Rick Click Menu which includes options such as New Record, Delete Record, Duplicate Record, Filter and Export.
Pop Up List
Pop up Lists are very similar to Drop Down Lists, only with the additional feature of a pop up window displaying a list of available codes and applicable descriptions.
Pop up Lists can be identified by the small button containing three dots (…).

To invoke a Pop up List, use either of the following:
Press Shift + F4
Click on the Pop up List button
The following image shows an example of a pop up list displayed when the “…” button is pressed.

Press Tab (or Shift + Tab) to navigate between the Selection Field, the List, the OK Button and the Cancel Button.
The arrow key will navigate up and down between items in the list. The auto complete feature is also available.
Click column headings to sort the list.
Social Insurance Number
Social Insurance Numbers are much like normal numeric fields with the added feature of automatically spacing the nine digit SIN into three separate groups of three digits. Do not type the space when entering the SIN, this is automatically displayed by K212 HRP.
Telephone Numbers
Area codes, telephone number and extension fields are entered as shown in the standard format below:

Note: The brackets around the area code appear, as you begin to enter numbers into the field.
Time
Times are always displayed by the system in the format hh:mm. Hours must be between 00 and 23; 0 – 59 is used for minutes. The largest possible time is therefore 23:59.

Yes / No Fields
The custom Yes/No control is used for fields (not contained within lists of data) where the possible values are “Yes” or “No”.

To select “Yes” or “No”, click on the appropriate radio button or tab into the field and use one of the following:
Press the left and right arrow keys to toggle between the radio buttons
Type in “y” (to select the Yes radio button) or “n” (to select the No radio button)
To remove previously saved information, click on the appropriate field and select Delete or backspace
