Data Validation and Messages

Character Validation

In order to streamline and simplify data validation, some field validation automatically occurs as you type. In these cases, if you type the wrong character (eg. if you type a letter in a numeric field) or exceed the maximum number of characters allowed in a field, K212 HRP will ignore the incorrect key strokes and nothing will appear in the field (eg. if you type a letter into a date field)

Field Validation

When you attempt to move the cursor out of a field (eg. by pressing the Tab key), a pop-up error message will appear if the value in the field is not correct.

This will occur regardless of whether you have changed the value or not.

Record Validation

Some validation checks occur to the whole record at once. For example, a pop-up error message will appear if you attempt to save a record while a mandatory field has been left blank, even if you cursor never visits that field.

Appearance

Application errors are displayed as follows:

Standard Error Messages

The following standard error messages for fields are displayed through out K212 HRP when you try to move away from a field where data/format is incorrect:

If a Mandatory Field (not in a data grid) is not completed

All bold fields are mandatory and must be completed.

If a Mandatory Field (in a data grid) is not completed

<field name> is mandatory and must be completed.

Note: This message occurs for each applicable mandatory field.

If a user enters a GL Account Code that does not exist on the GL Accounts Table

Invalid GL Account Code. Please select from the drop down list or create a new code in the GL Accounts screen.

If a Date is entered in the wrong format

Invalid Date. Please use format YYYY/MM/DD.

If a Time is entered in the wrong format

Invalid Time. Please use format HH:MM

The largest possible time being 23:59.

If a user types incorrect data in to  a Combo Box

Invalid Entry. Please select from the drop down list.

The following Error Messages have been built in to the architecture of K212 HRP:

If you try to Edit a Record that is already in use

This record cannot be updated because it has been locked for editing by <insert name>.

If you try to Update a Record that has been previously modified

This record cannot be updated because it has already been modified by another user. Click ‘Refresh’ to display the modified data before updating.

If a row in a data grid is deleted

Are you sure you want to delete the current row?

Warning Messages

Warning and Confirmations are displayed with an icon of an exclamation mark in a yellow triangle as follows:

If you try to close a window without saving changes

Do you want to save changes made?

If you try to delete a record

Are you sure you want to delete the current record?

If you click submit and changes have not been saved

Do you want to save changes made so that you can submit?

Information Messages

These messages are displayed to inform you of an event that has occurred or will occur, within K212 HRP.

Information messages appear with an ‘i’ character within a speech bubble as follows:
