Prints one individual report for each student with an inconsistency in his or her day’s attendance. Space is provided for the student to make a written explanation of the discrepancy and to sign his or her report. There is additional space at the bottom of the page for notes.
If students are absent again the following day after an unexplained absence, individual reports are more useful in separating these students who have not been interviewed from those who have. Individual reports may be photocopied and sent home or given to teachers for their information or to find out further information.
Each report includes the student’s reported attendance in homeroom (Present), the homeroom teacher’s name (Ms. Peters), the homeroom number (101), and the homeroom designation (9A).
A description of the student’s attendance takes the form of a timetable for the day. If the student has signed in late or signed out early, the information is noted in the expected order. The attendance information received on the Teachers’ Absentees Sheets is found in this order: each teacher’s name, the office entry, then the teacher's entry and then the registry. The notations "not marked present" or "not marked absent" indicate that the teacher reported no deviation from the expected attendance.
A deviation from the Teacher’s Absentees Sheet is marked "absent" or "present". These deviations are not always discrepancies in attendance.
An asterisk (*) indicates the period in which a discrepancy was recorded. Only those periods marked this way indicate a need for a student explanation.
A special symbol (#) indicates that the teacher did not pass in his or her Absentees Sheet for that day.
The numbers on the extreme right of the classes indicate the total number of times the student was absent and excused from each class. If 4/0 appeared beside a class, the student has been absent from that class four times, and has never been excused from that class. The notation "no class" indicates that the class was cancelled.
A section is provided for the student to make a written explanation of the discrepancy and to sign his or her report. There is additional space provided at the bottom of the page for notes.
For all students with an inconsistency in their day’s attendance, reports are printed successively to form a list instead of individual sheets. There is no space provided at the bottom of the page for notes by the student and the interviewer.
Each Deviation Report in the list contains the same information as the individual reports except there is no area provided for interviewer notes, student explanations, and signatures.
The day’s attendance statistics are printed at the bottom of the list. For each grade and the whole school, the school’s enrolment, the number of students absent all day, and the number of students absent for one or more periods are printed.
Prints, in list form, all students with any type of an attendance entry during the day. This program is also used to transfer the attendance information to the Permanent Register.
A description of the day’s attendance is printed for any students with any kind of attendance entry, that is, not just students with inconsistencies in their day’s attendance.
Each report in the list contains the same information as the individual reports except there is no area provided for interviewer notes, student explanations, and signatures.
Prints both a list of deviations and the individual reports. (See above for details about Individual reports and deviations).
Prints both a list of all absentees and individual reports of all absentees. (See above for details about Individual reports and absentees.)
Sends attendance information to the register without printing.
