Restoring Data for a New Maplewood System
This procedure is strictly for new schools that have had data transferred/converted by Maplewood. The instructions for restoring a backup below are not required by schools that already have data.
- Start the Maplewood Administration System.
- Go to Help, Environment Information, click on the path tab.
- Write down the directory path shown in the field called 'Structur File (SPD)' (eg: F:\ADMIN\PR).
- Using Window Explorer or My Computer look in the directory for the file called Structur.
- Copy this file and paste it in a temporary folder or on your desktop. It will be needed later. Do not delete, drag and drop, or move the original Structur file located from the PR folder.
- Save the Maplewood Backup (*.MWB) file you were sent to a known location.
- Make sure no other copies of Maplewood are running and choose File, Maintenance, Backup/Restore.
- Click the Restore tab.
- Select the saved *.MWB file from the source drive and folder.
- Click the Restore All Files checkbox.
- Click 'Start'.
- Once you have completed the restore, exit from Maplewood.
- Copy the Structur file you saved to a temporary location or to you desktop and paste it into the PR folder. If you are asked if you wish to overwrite the existing file, say 'Yes'.
- Log in to Maplewood.

Once your data has been restored, please check the following:
1. Choose Help, Environment Information, School Information Tab and verify the
- School Name and Number.
- Board/District Name and Number.
- Jurisdiction.
2. Choose Help, Environment Information, Miscellaneous Tab and verify that the
- System Level is correct (if Trio also verify Trio count).
- Library Enhanced is enabled if you purchased library.
If any of the above items are not correct please contact Maplewood.
3. Choose File, School Setup, School Information, Configuration Tab.
- Most schools with want to use Period Patterns for classes in both This Year and Next Year.
- Verify the School Type, Native Operations (where applicable), and School Language.
- Other options here can be set after all conversion issues have been resolved.
4. Choose File, School Setup, School Information, School Info. Tab and
- Update the School Address, Principal and Notice information.
5. Choose File, School Setup, School Information, This Year tab and
- Ensure Number of Semesters, Terms, Days and Periods are set correctly.
- Enter Period Times.
- Ensure all Semester / Term Patterns are defined correctly (only if timetable information has been transferred).
- Ensure all Day / Period Patterns are defined correctly (only if timetable information has been transferred).
6. Check the School Calendar by choosing File, School Setup, Calendar, Edit.
- Has one been defined (do you see the words "Administration Date: .......") in the status bar?
- 1. If No, choose File, School Setup, Calendar, New and proceed with all checks listed in step 2.
- 2. If Yes choose File, School Setup, Calendar, Edit and be sure that the correct day has been selected and also that,
- a) The calendar spans from first to last day of school, adjust if required.
- b) All holidays, PA Days and Exam Days are entered.
- c) All cycle days are correct (where applicable).
- d) Semester and Term start and end dates are correct (where applicable).
7. Check the Grades Taught By School by ensuring that the Table of Grades has been correctly defined.
- Choose Students, Custom Fields/Tables, Table of Grades and make sure that he highest and lowest numeric grades are set appropriately. Add or remove any letters that are needed or inappropriate for your school.
8. Check School Staff by choosing Staff, Staff Records, and
- Ensure all Staff members are present (Use * to list them all).
- Make any additions or corrects where required.
- Make sure Staff members are flagged as 'Teach' and have the correct security roles.
