School Graduation Diploma Requirements - USA


You can now customize the students’ history records in Maplewood Secondary for Windows and Maplewood Prelude for Windows, to accurately reflect the graduation requirements of your school. Before a student is granted a diploma or certificate from your school, you need to indicate what course credit requirements must be met by the student. By customizing the graduation requirements, the history tab of the students’ records will clearly indicate the course categories where the minimum requirements are not met.

Three user-defined areas must be set up:

1. Diplomas

This is a list of diplomas and/or certificates that may be granted upon successful completion of the diploma requirements.

Within the student's history tab, on the edit diplomas screen you can select from this user-defined list. To define diplomas/certificates,

WIN Pre: Choose Grades, Custom Fields/Titles, Transcript Definitions, Define Diplomas.

Click Add/Edit and enter an English and/or French Title, an English and/or French Short Title. Optionally, enter a Ministry and Board Code.

2. Categories

Before defining graduation requirements, you need to create categories. When a defined number of credits must be obtained in a specific type of course that course type must be set up as a category. Example categories may be English, Math, Science. You do not need to add a category for "Other". To define categories,

Click Add/Edit and enter an English and/or French Title, an English and/or French Short Title. Optionally, enter a Ministry and Board Code. If you can’t edit, see *Note below.

3. Requirements

For each student attending your school, you can select the graduation requirements that a student is striving to meet. These requirements indicate the number of credits in each category the student requires (for example, for the Regular Diploma, a student requires 4 credits of English, 4 credits of Math, 3 credits of Science, etc. for a total of 28 credits). To define requirements,

Click Add/Edit and enter an English and/or French Title, an English and/or French Short Title. Optionally, enter a Ministry and Board Code. If you can’t edit, see *Note below.

*Note: If you find previously defined categories/requirements that you cannot edit, maximize the Window to see the other columns to the right (or use the scroll bar to move the screen to the right). If there is a column labelled Edit, each item will indicate Yes or No. If it says Yes, you can make any modifications to it. If it says No, you can only change the board/division/district code.

To change an item from No to Yes, at the screen where you see the list of items (and you can see the Yes/No), press ALT and M simultaneously (M is for mandatory). Pressing this key combination will toggle between the Yes and No.

Attaching Categories to Course Codes in the Code File

To attach a category to a course code in the code file,

WIN Sec/ Pre: Choose File, School Setup, Codes.

Click Edit to specify a category for each code.

If the course doesn’t fit into one of the defined categories, then leave it as "None Selected". These courses will count toward the total credits required but they do not fulfill any of the required credits.

Typically courses will only have one category selected. If you specify more than 1 category, the course will fulfill the required credits in all the categories specified. You may want to use multiple categories if you have a 2 credit course and it fulfils the credit requirements for 2 different categories (1 credit for each category).

Indicating a Student’s Graduation Requirements

Each student needs to have their graduation requirements indicated before the history tab reflects the correct information. To edit diploma information,

WIN Sec/ Pre: Choose Students, Student Records, History Tab, Edit, Edit Diploma.

As an example, it may display English 2/4. This means that the student has completed 2 of the 4 required credits in English. The category will display in red to visually show that the student has not yet completed the compulsory credits in that category.

Note: A future release will allow the graduation requirements to be assigned to students in groups rather than 1 student at a time.
