STUD_GRADE 2 256 Biographics Tab, This Year's Grade (or History Tab, Adult Education Status *)

Grade 8,9, 10 or 11 applies to any student in these grades in the 2004 Graduation program (if they are required to be reported to TRAX).

Grade 12 applies to grade 12 students who are eligible to graduate in the current school year, and to returning grade 12 graduates.

* Students in the Adult Graduation Program are reported with either grade AD or AN based on the Adult Education Status field within the History tab of the student's record.

AD applies to Adult Graduation Program students who are eligible to graduate in the current school year (Adult Education Status = Graduating in Maplewood).

AN applies to Adult Graduation Program students who are eligible to graduate in the current school year (Adult Education Status = Non-Graduating in Maplewood).

ote:  when creating the TRAX files, there is the ability to set the Ministry grade code for grades used in the school (e.g. grade H in Maplewood could be sent as HS in the file,
or grade S in Maplewood could be sent as OT in the file).
Only grades 8 to 12, OT, HS, AD and AN are valid in the TRAX files.

PGRM_CODE1 4 258 Enrolment, Edit, Other Fields, Career Program.

A user-defined list of Career Program Codes is created by choosing Students, Custom Fields/Titles, Enrolment Tables,
Career Program Codes
. Ensure that the Ministry Code entered here matches the number in the documentation from the Ministry.
Here is the list of valid TRAX program codes.

Report a Career Program only if the student is expected to complete it.

If this field is filled in, the student’s transcript will indicate the designated program participation.

For Career Programs, this code and the reporting of completion of a work experience course in the CRS file are required for the
following comment to appear on the student’s transcript (example only showing a student with program code TT
(Trades and Technology): “This student has participated in these programs: Career Program Trades and Technology.”

Note:  A student must be in one of the following enrolled programs in order for a career preparation code to be entered (the student’s enrolled program is also located in the same area as the Career Program field):

40  CAREER PREPARATION

41  CO-OP

42  APPRENTICESHIP

43  CAREER TECHNICAL CENTRE

The TRAX program requires one of these enrolled codes before the career program code, although it ignores the code.  Therefore, the PRGM_CODE 1 may contain 40XA if a student is in the enrolled program code 40, and the career preparation code XA.  TRAX will only use the XA portion of the file.  (Technical note:  TRAX will accept files with just XA, as an example, but it will automatically insert the code 40 in front in order for it to be accepted into the TRAX application.)

PRGM_CODE3 4 266 See PGRM_CODE1.
PRGM_CODE4 4 270 See PGRM_CODE1.
