Ministry Annual Statistical Questionnaire - Caribbean Community & Common Market users only


There is a report that provides statistical information to the Ministry of Education. This report is available using Reports, Annual Secondary School Questionnaire.

The report is run in the fall based on the count date of October 31. This is the report date that will be prompted.  Unless the date needs to be changed, click the Create button to run the report.

Where Maplewood has sufficient information to generate the statistics, information will appear in the report.  Other areas will need to be filled in manually before submitting the report to the Ministry.

 

The following areas are generated:

 

1.1 and 1.2  Name of Secondary School, School Code, and Educational District (on line 1.7):  Based on information in the Maplewood License.  Contact Maplewood if the information requires changes. 

1.3, 1.5 and 1.6  Mailing Address, Phone No., Fax No., and E-mail:  Based on the information in File, School Setup, School Information.

1.7 Name of Principal:  Based on name of staff member with the role P. This ignores the role of P and uses only Principal information in School Information

1.8 Management:  Ministry of Education will always be checked off.

1.10  Enrolment:  Based on the students actively enrolled in the school on the count date.  Student’s entry and retirement dates, and previous enrolment dates are considered when determining if the student is enrolled on the count date.  These dates are in the Enrolment tab of the student’s record.

1.11 Total No. of Non-Teaching Staff:  Based on staff employed on the count date, whose Teach box is unchecked. 1.12  Total No. of Teaching Staff:  Based on staff employed on the count date whose Teach box is checked.  Staff with role of T whose status are Deleted will also be included if they were employed on the count date.

2. Total Number of Groups in each Form:  Based on the number of homerooms with students in each form (e.g. grade 7 in Maplewood = Form 1).  If homeroom 1A1 has students whose grade is 7, then it would count as 1 toward the total in Form 1.

6.  Distribution of current Enrolment according to Fresh Intake and Repeaters:  Fresh Intakes are any students with an entry date to this school dated from September 1st to October 31 with a method of entry with the MIN# 01, 02, 03, or 06 corresponding to the students entering from Common Entrance Exams, local transfers (public or private), and overseas transfers.  The determination of Repeaters is based on the Retained status in the Attendance History button on the student’s History tab.  This information is maintained as part of the roll over process for a new school year.

7.  Current Enrolment by Age, Form and Gender:  Based on the student’s gender and grade (e.g. grade 7 = Form 1), birthdate (age is based on student’s age on the count date).  Only students enrolled in the school on the count date are included.

8.  Student Movement – Leavers during the Previous Year:  Student Movement includes any students with a retirement date during the previous school year (e.g. if the report date is October 2008, then it considers dates between September 1, 2007 and August 31, 2008).  The MIN# of the Reason for Leaving determines the row in which the student is counted.  The MIN#s considered are: Entered one dropout and one transfer to another school and the Report showed the changes.

02 or 03 = Dropouts

04 or 05 = Transfer to other schools

06 = Transfers to Overseas

01 = Graduates

Any other MIN#s are excluded from this report.

9.  Distribution of Pupils according to Distance Travel from their Homes to their School: Based on the Community field in the student’s address (Family tab in student’s record).  Only students enrolled on the count date are considered.

10.  Teaching Staff (excluding Principal) by Gender and Training: Based on the Trained/Untrained and Graduate/Non-Graduate determination on the Teachables tab in the staff records and the gender on the Biographics tab.

Only teachers are included in this report.  On the Biographics tab, there is a check box labeled “Teach?”.  If this box is checked, then the staff is considered a teacher and is included in the report.  The Role field in the staff records is used to determine who is the principal (Role field must have P) and vice-principal (Role field must have V).  Staff with Role P are excluded, however a role V with the Teach box checked is included.  If a staff member is deleted, they will still appear in the report if the staff member was still teaching at the school on the count date and the staff member’s role is T (since the Teach box is automatically unchecked).

11.  Teacher Status According to Qualification, Nationality and Gender for the Current Year:  This uses the same method to identify teaching staff as Table 10. The teacher’s Teacher Grade field (on the staff Teachables tab) determines the row, while the teacher’s Nationality (on the Biographics tab) determines the column in which the teacher is counted.  New appointments are teachers with a Teaching This School date (on the employment tab) between September 1 and October 31 of this year.  Teachers on Study Leave are those Deleted Staff with a Reason for Leaving that represents a Study Leave with or without pay (e.g. MIN# code 06 or 07).

12.  Status of Teachers According to Gender, Types of Leave and Transfers during the Previous Year: Includes Deleted staff with a role of T and whose transfer date (on the Employment tab) is between September 1 of the previous year and August 31 of the current year.  The Teacher Grade field on the Teachables tab determines the row, while the Reason for Leaving determines the column.  The MIN#s considered are:

15 = Transfer From Your School
01 = Resignation
02 = Termination
03 = Secondment
04 = Retirement
05 or 14 = Other (departure)
06 or 07 = Study
08 or 09 = Maternity/Paternity
10 = Special
11, 12, 13 = Other (leave)

The column Transfers to Your School includes any teachers with a Teaching Since (at this school) date between September 1 of the previous year to August 31 of the current year.  This date is on the Employment tab.
