The IRIS file (regardless of submitting method) can be created either at the school level or at the central office level.
For schools/boards using the Panorama method, the ALIAS table will need to be defined prior to the file creation. This table can be found under, Students, Custom Fields/Tables, Address Verification, Aliases.
All entries that pertain to the school(s) within your board should be added to this table. The Abbreviation entry must hold the IRIS defined "VALUE" entry for each street type (see tables below).

If creating the report via Central Office, the following screen will appear:

Choose the 'Select' button to pull up the list of schools within your board. Choose the schools you would like to export, then select OK.
If creating the report within a school environment, the following screen will appear:

To ensure that the entire school is sent on the file, select both the First in School and Last in School boxes.
One of the fields collected by IRIS includes contact information for the student's guardian. Each student may have contact information entered for the student, the mother, the father, and the guardian, so the program uses the student's 'Lives With' field to determine which contact to include in the file.
Since the 'Lives With' field in the students' records is based on the user-defined Custody Types table, it is important to make sure that the correct guardian information is populated in the IRIS file. If the student lives with his mother, then the mother's information should be included in the IRIS file, and therefore the 'Contact to be sent' setting should indicate Mother. Similarly, if the student lives with his father, the 'Contact to be sent' setting should indicate Father. If the student lives with his Guardian, the 'Contact to be sent' setting should indicate Guardian. For any of the other user-defined custody types, choose the most appropriate 'Contact to be sent' setting from the following choices: Student, Father, Mother, Guardian. For example, if a student lives with his Aunt, and students in this situation have had the Aunt's information entered into the Guardian area of the student's record, choose Guardian from the 'Contact to be sent' setting.
4. The interface allows users to check the Pad non-required fields with spaces (blanks) checkbox. When this option is selected, then only the following fields will sent.

Note: For user's creating files in the XML format (for Panorama) it is recommended that this option NOT be selected.
The IRIS program is designed to permit the update of its student information electronically using board of education supplied data. The IRIS board import facility uses a standard fixed length ASCII file format. The import facility will not work properly unless the student records are structured exactly as described. Each field must start at exactly the position described. If there are fields that the board can not provide, the missing fields must be padded with spaces. The file format required is as follows:

Note:· The ministry file specifications state that the file should include all guardians that are associated with the student. Currently the Panorama validation tool can only handle one guardian. Changes have been made to the Maplewood file creation process to only include one guardian.
