QEV Instructions for the Ontario Student Transcript


Overview

Note: All QEV, PLE, and QSE courses that have categories 1 or more will have the compulsory box disabled with a "-" in the column. The compulsories will be calculated internally and will show up in the grid and on the transcript printout.

PLE, QMA, QEV, and QSE - All credits are included in total even if no category assigned. When categories are assigned, then the program will determine compulsory/optional credits.

Grade 9 students now receive one course code (QEV) when they complete the grade 9 program. The course code that has been generally adopted by schools is QEV1W. In your Maplewood system, the QEV course can be broken down to indicate the number of basic, general, advanced and compulsory credits (e.g., QEV1W might be worth 8 general credits and 7 compulsory credits).

Since the QEV courses do not indicate what type of compulsories are being met, the credit information of the History screen and the calculation of compulsory credits for grade 10 (and up) are not accurate for the students with this course.

In the Code File, any QEV course would let you specify more than 1 category. Each category is worth 1 credit.

E.g., QEV1W might have the following categories attached to it: English, French. Science, Math, Canadian History, Physical Education, and Business/Technology (for 7 credits).

A unique course code (e.g., QEV1WA) can be created for a student who comes from a different school with different grade 9 compulsories.

Clarification on Equivalent Credit Courses

Example: Students with out of province credits (every student has different courses)

Option 1: Make a unique code for each student and specify the categories for each unique code based on the student who will be given the code.

When asked for the number of basic, general and advanced credits, the sum of these must equal the number of credits that the student has obtained (it doesn't matter whether the courses are specified as basic, general or advanced). When asked for the number of compulsory credits, you can enter the number if known, however, as soon as Calculate Compulsory Credits is run, it will enter the correct number.

Calculate Compulsory Credits will determine how many of those equivalent credits are compulsory (based on the specified categories) and enter the appropriate number of compulsory credits in each student's transcript (e.g. 6). The display of the student's credit breakdown in the history screen will place the extra 2 credits in the "other category".

Count Accumulated Credits will determine the total number of regular and OAC credits a student has in his/her transcript. This program sums the numbers specified in the basic, general and advanced credits for the equivalent credit courses.

If a student has more than one credit in the same category, then you will need to make a unique code for that category. E.g. a student has 18 out of province credits and 3 are English, 1 is French, 1 is Canadian History, 1 is Canadian Geography, 1 is Math, and 1 is Physical Education (8 compulsory credits). Make one course for just the English credits (e.g. QSE1 with the category English) then make another course for the remaining (e.g. QSE2 with the categories French, Canadian History, Canadian Geography, Math, Physical Education). To the student's transcript, add the QSE1 course with 3 credits (and 3 are compulsory). Then add the QSE2 course with 15 credits (and 5 are compulsory).

Option 2: Make one code for out of province credits and leave the categories as none.

When asked for the number of basic, general and advanced credits, the sum of these must equal the number of credits that the student has obtained (it doesn't matter whether the courses are specified as basic, general or advanced). When asked for the number of compulsory credits, you can enter the correct number (since Calculate Compulsory Credits will not make any modifications to the student's compulsories).

When Calculate Compulsory Credits finds an equivalent credit course with no categories, it will print out the student's name and "QEV courses with no categories". This means that the compulsories must be determined manually. The number of compulsories should not change from what was entered. The categories of any other course should not change either. The display of the students' credit breakdown on the history screen will place all of the out of province (equivalent) credits in the "other" category.

Note: The Mark Book only prints the total for compulsory credits in the QEV not the entire total of credits for QEV.

Students who have not completed the Grade 9 program and who did not attend summer school to successfully complete their Grade 9 program

To establish a consistent transition across the province from a de-streamed Grade 9 program to streamed Grade 9 Courses, the achievement of ALL students in Grade 9 during 1998-1999 should be accurately recorded to convey the most complete and current information to parents and students. Most students who are in Grade 9 during 1998-1999 will successfully complete the Grade 9 program and will have the "Grade 9 Program Achieved" entry on their transcript. For those students who do not successfully complete their entire Grade 9 program by the end of June 1999 or by the end of summer school 1999, their achievement in Grade 9 should be recorded in the following way:

What this means is that in the Maplewood Administration System you will need to create separate codes for these students. A new code is created for each combination of courses successfully completed in grade 9. As an example, if you have 3 students who completed every course except math, create a new code such as QEV1M, and if you have 2 students who completed every course except math and english, create a new code such as QEV1ME.

Here's how to set up the code QEV1M as an example:

  1. Choose File, School Setup, Codes.

  2. Click Add.

  3. Enter QEV1M in the Course Code box.

  4. Enter English and/or French Titles, e.g. for English enter "Credits earned in Grade 9 program".

  5. Click the Select button in the Categories frame and select every category that normally applies to the grade 9 program except "mathematics".

  6. Select the Language.

This code should be added to the student who did not achieve QEV on his transcript.

Note: Only one code should be set up for each student who did not achieve his/her QEV status. For example, if a student does not complete Grade 9 Math and Grade 9 English, you would create a code entitled QEV1ME except at step 5 exclude the mathematics and English categories. The QEV1M code should be added to the 3 students who did not complete the math portion of the grade 9 program and the QEV1ME code should be added to the 2 students who did not complete the math and English portions of the program.

Beginning in the 1999-2000 school year, Grade 9 courses will be treated as individual courses and credits and will be recorded individually.
