There are a number of new changes to Maplewood’s SDS application for the 2013/2014 school year, including the new Resident Type field and Cumulative Folder check box which have been added to the Enterprise database only*.
1. The Shared Space check box has been removed from the Prekindergarten area within edit enrolment. This field is no longer collected by SDS, however the Ministry Designated Space check box is still available to identify a student who is enrolled in a designated Prekindergarten program which receives funding through the Ministry of Education Prekindergarten Program allocation.
2. The Tuition Status (within Edit Enrolment) now has the following changes:
FE Foreign Exchange
FT Foreign Tuition
RE Reciprocal Exchange
LA SK-AB Lloyd Agreement (NEW)
PA Other Provincial Agreement (NEW)
NA Not Applicable
Notes:
i. Inter-division Exchange is no longer a possible tuition status.
ii. SDS will now perform the following check: The student's country of origin is required for students who have a Tuition Status other than SK-AB Lloyd Agreement, other Provincial Agreement, or NA
iii. Although a school may still record information into the Exchange Program Name, Duration (Months), and Tuition Collected fields within Edit Enrolment, this information is no longer collected by SDS.
3. There is a new field within Edit Enrolment for the Resident Type, a new field collected by SDS in the fall of 2013. By default, all students will have N/A selected. The following values are available for this field:
Refugee (SDS file will contain the code REF)
Permanent Resident (SDS file will contain the code PM)
Temporary Resident (SDS file will contain the code TR)
Student/Visitor Visa (SDS file will contain the code SVV)
Not Applicable (SDS file will contain the code NA)
This field is enabled at the student's home school only (e.g. disabled if the student is concurrent). As per the SDS rules, the following checks are made:
i) If student is a Canadian Citizen, Resident Type must be N/A. (Maplewood validation message: Please change the student's Resident Type. Student's Citizenship is set to Canadian Citizen, the Resident Type must be 'Not Applicable'.)
ii) If student has a relationship of type 'base' and is a Saskatchewan Resident, the Resident Type must be Refugee, Permanent Resident, Temporary Resident, or N/A. (example Maplewood validation message: Please change the student's Resident Type. This is the student's Base School and the student is SK Resident, the student cannot have resident Type set to 'Student/Visitor Visa')
iii) If student is not a Saskatchewan Resident the Resident Type must be Student/Visitor Visa or N/A. (example Maplewood validation message: Please change the student's Resident Type. Student is not SK Resident, Resident Type can only be 'Not applicable' or "Student/Visitor Visa'.)
4. The Support Services table is a user defined table that can be accessed by selecting Students, Custom Fields/Tables, Special Education, Support Services. The description of the Support Services has changed as follows:
02 description should be changed from Level I to Occasional
03 description should be changed from Level II to Frequent
5. Within the Other fields tab within Edit Enrolment, there is a new check box called Cumulative Folder. This field will be used in Saskatchewan for reporting whether this school has the student's cumulative folder (rather than trying to interpret the student record request dates). This new field will initially default to Yes if the student is Home and will default No if the student is Concurrent.
6. The EAL Proficiency table is now available for editing by a school or the Central Office using Students > Custom Fields/Tables > Enrolment Tables > EAL Proficiency. This will allow schools to track EAL proficiency beyond the B1.2 level reported to the Ministry's SDS data collection. The SDS files will only include those levels with Ministry codes in the 01 to 06 range. Any other values will be ignored and can be considered for school/division tracking purposes only.
* The majority of Maplewood clients are using the Maplewood Enterprise (Elementary) or Maplewood Enterprise (Secondary) version as indicated in the top left corner of the software when it is run in the office. All non-Enterprise schools will be converted to the Enterprise database, but please contact us if you would like more information on when you will be migrated to this version.
