Import Examination Results

The Ministry sends provincial exam results to the schools after the exam session.  The Ministry's file contains the school percent, the exam percent, the blended percent, the final letter grade and the number of credits earned for the school work. These marks may be automatically copied from the Ministry file into the students’ History records (transcripts).

Preparation Required Before Importing the Marks

Make sure that the student's transcripts have been updated with the school's final marks.  To add courses to the transcript, choose Marks, Automatic Transcript Update, Add Current Courses to Transcripts.

Check the students’ transcripts by selecting the History tab from the students’ records. The school’s final mark should appear in the "Mk." column. The "Ex." and "Fi." (Exam and Final) columns should be empty. These marks will appear after the marks from the Ministry file is imported.

Importing the Marks

To import, choose Reports, TRAX Data Transfers, select the  Import Examination Marks option.

Select the marking column to hold the final mark (1 to 6 or 0 if none). This means that the final mark can be copied into any one of the conventional mark columns (in addition to the transcripts) so they may be printed on report cards.

Select the Import button, then select the path to the file containing the Examination Marks and then select Open to continue.

When the process is finished, check that the marks were accurately imported using the History option from the students’ records. The Exam and Final columns should now contain the students’ provincial exam and final blended marks.
