Manitoba EIS - Changes for 2014/2015 School Year

Back to EIS

• The reporting date is Tuesday, September 30, 2014. The data is due to the Schools' Finance Branch on October 15, 2014.

Maplewood has made the changes to the software to provide 2 new fields in the student's enrolment information which are now collected in the EIS Student Enrolment file:

1.  Newcomer EAL - a new field to collect assessment of newcomer EAL students.  EAL students (English as an Additional Language) will need an assessment value selected from the following list:

10 = At or above age - appropriate grade level for MB Student

20 = 1 - 2 years below age - appropriate grade level for MB Student

30 = 3 or more years below age-appropriate grade level for MB Student

40 = No formal schooling (student over age 9)

50 = Not assessed.

2.  Needs Additional French Language Support - a new check box to flag a student as needing additional French Language Support.  Checks will be made to ensure that this field is flagged only when the student is in the Français (101) or French Immersion (11x) Language Program and there is a value in the newcomer field.

These two new fields are found in the Other Fields tab within Edit Enrolment in the student's record.

These newcomer fields only get submitted the first year a student is new to Canada.  The student's Entry Date to Canada will be used to ensure that only those students who are new (since the last EIS submission on Sept 30 of the previous year) are included.  The Enrolment tab of student's record now has fields to track when a student enters Canada.  If a student is new to Canada, on the enrolment tab of the student's record, uncheck the Born in Canada box and then enter the student's Entry Date to Canada.

Other EIS changes for Fall 2014:

The Aboriginal Identity table value '060 Uncertain of Ancestry' is no longer valid.  In Maplewood's Central Office, this table entry should be given an expiry date (e.g. June 30, 2014) so that it may no longer be used.  By changing the value in Central Office, the change will be applied to all of the schools.  This table entry is found under Students > Custom Fields/Tables > Enrolment Tables > Aboriginal Identity.  If the table entry is locked from editing (Edit column says No), press Alt & M to change the No to Yes, and press Alt & M again to reset it back to No when the changes are completed.

Starting this year, marks and course registration are limited to students in grades 9 to 12, which is what Maplewood has always done. A grade 8 student taking a grade 9 course will have the course reported when they reach grade 9. Maplewood will include all grade 9 to 12 courses dated from September of the previous year until August 31, however, these 'reach ahead' students are still considered grade 8 students during this mark submission, and are excluded from the file. If you have students in this situation, please let us know so that we can discuss whether the marks are manually entered in EIS once the student is in grade 9, or whether we make changes to report prior years marks when the marks are submitted over the next summer.
