Manitoba EIS:  TPP Activities

 

File Name:  xxxxact.asc (where xxxx is the school number)

EIS has an extensive TPP (Teacher and Professional Personnel) data collection function. Some of the required data may be automatically imported into EIS rather than entering the information manually. The TPP Activities file contains information on the subjects and work activities assigned to teachers and professional personnel. Maplewood creates the file for each school, and the file is imported into the EIS collection tool.  The division is responsible for submitting this information to the department each October, so please follow any additional instructions provided by the school division.

 

1. Check Student Information

Before the file can be created, please be sure to review the TPP Activities File Specifications chart at the end of this document to ensure accuracy for all the fields collected in this file.

Check that the following information is accurate for the staff members in your school: staff PSP number (Professional School Personnel Number), surname, given name.  To edit this information choose Staff, Staff Records, select the teacher, Biographics tab, Name button.

Check that each course code has a course number (e.g. 0200-30S) and course title (e.g. Accounting Principles) entered. Choose File, School Setup, Courses to see this information.  Course numbers can be found in the Subject Table Handbook (http://www.edu.gov.mb.ca/k12/docs/policy/sth/index.html).  Any course with a course number set to X will be excluded from the file.

 

2. Create the TPP Activities File (after September 30th)

a.  Reports, Department Data Transfers, Create TPP Activities File.
b.  Enter your Department of Education  division number, followed by your Department of Education approved school number.
c.  Select Export to create the file.
d.  Save the file by selecting the path (the filename is ####ACT.ASC), and selecting Save.
e.  To view the information in the file, Select Print or View, choose the file from the Open File window and select Open.

To create the activities file that you can import into EIS,

  1. Choose Reports, Department Data Transfers, Create TPP Activities File. 

  2. Enter your Department of Education  division number, followed by your Department of Education approved school number.

  3. Select Export.

  4. Save the file by selecting the path (the file that you will submit will be named ####ACT.ASC), and clicking Save. 

  5. A message will appear letting you know that the export has been completed. Select the OK option to exit the TPP reports area.

 
Proceed with the TPP Processing as instructed in the EIS user’s manual. This will explain how input any remaining information into EIS and how to create the file which should be sent to your division (or directly to MET if you are an independent school). Reminder: A TPP Update file must be sent to the department each month from divisions reporting any staff changes. This includes new staff, name and address changes as well as transfers or terminations. Make changes directly into EIS before providing your division office with a monthly update.
 
If the grade of the course is grade 8 or lower (as specified in File, School Setup, Course), the TPP Export in Maplewood will now use the course grade field to determine the course level field in the file.
 

TPP Activities File Specifications

Below is a description of the contents of the TPP Activities file.  The exact file specifications can be found in EIS File Layout.pdf,

PSP Number

The PSP Number (Professional School Personnel number assigned to the teacher upon certification) of the teacher teaching the course. For classes with more than one teacher use the senior or lead teacher

In Maplewood this information is stored as the Staff Number and can be accessed by selecting Personal, Name, Number within the staff record.

Surname

Staff, Personal, Name, Surname

Given Name(s)

Staff, Personal, Name, Given Name

Subject Code

File, School Setup,  Courses

In the Courses File, if you are using a course code such as ENG10G, the subject code should be entered in the course number field of the Courses File. Enter the course number as 0001-10G or 000110G. The subject code is the first 4 characters and the subject level and course type are the last 3 characters. If your course codes are already entered as 000110G (example) rather than ENG10G, you do not need to make any changes to your Courses File.

Courses with a course number set to X will be excluded from the file.

File, School Setup, Courses, Grade field or Course Number field as follows: Courses with the grade set to 9 or higher: Subject level is the last 3 characters of the course number (e.g. course number 000110G would have subject level 10G). Courses with grade set to 8 or lower: Subject level is the grade entered into the grade field of the course.

Program Track

File, School Setup, Classes, Program Track.

EN = English
FR = Français
IM = Immersion

Number of Classes

File, School Setup, Classes.

Number of Class sections  taught by the individual Teacher.

Male Enrolment

Number of males enrolled in a class.

To view this information go to File, School Setup Classes, Print, select the option for Occupancy (M/F).

Female Enrolment

Number of females enrolled in a class .

To view this information go to File, School Set-up Classes, Print, select the option for Occupancy (M/F).

Language of Instruction

File, School Set-up, Classes, Edit, Language

The language of Instruction is a user-defined list. To modify this list, select File, School Set-up, Language of Instruction.  The Ministry code for each language must correspond to the codes in the EIS code tables.

Semester

File, School Set-up, Classes, Edit, Semester. Based on when the class is scheduled to be taught, Maplewood will populate the semester as follows:

0 = Full year
1 = Semester 1
2 = Semester 2
5 = Summer School
6 = Quarter 1
7 = Quarter 2
8 = Quarter 3
9 = Quarter 4
