Data Submission Timelines

The Data Submission Timelines provided here are directly from the Registrar's Handbook (Section 3.2). Submission timelines for demographic/enrolment information (all K-12 schools), course registration, marks, and transcript release dates (for secondary level schools only) are noted in the chart below:

Monthly attendance data collection

 

Updated grade enrolments, withdrawals, and new enrolments (admissions) are due. This includes mass re-enrolment to the next grade level.

September 30 enrolment for Infrastructure and Education Funding Branch.

Submit demographic changes (address) as soon as available and ongoing throughout the year.

Regularly submit additions, withdrawals, and changes throughout the year (according to Standards of Practice for Student Enrolment and Withdrawal from the SDS [Appendix F]) via XML transfer, SDS web application, or paper forms. These efforts support SDS and Student Tracking.

For secondary level schools (grades 10–12)
Registrations for all courses that finish on or before the end of January, are due (supports a snapshot of teacher assignments).

Registrations for all courses that finish on or before the end of June are due.

To capture scheduling changes or additional registrations, registration files can be sent the first Friday of the month your marks are submitted. (Do not send registrations the week marks are due – this causes a system delay for schools attempting to meet the mark deadline).

Exceptions: June final marks are due the second Thursday of July. January final marks are due the second Thursday of February.

Transcripts are issued.

Student profiles (unofficial transcripts) are available online the day transcripts are finished printing (check the website). The blended/departmental marks are also available for schools to request and import into their Student Information System (SIS) the day transcripts are finished printing.

If you do not have access to the SDS website, contact Student Records (306-787-8319) the week after transcripts are shipped to request a copy of the student profiles (unofficial transcripts).

Fourth Thursday of every month

(Note: to meet post-secondary admission deadlines, transcripts in February and July will be run immediately following the second Friday of the month.

For all K-12 Educators
Complete the Electronic Educator Profile – the educator information will be used by Infrastructure and Education Funding Branch. September 17
