How to Close a PO

 

Purchase orders may be closed in the PO Management screen using the Close action. During the PO Close process, all outstanding commitment amounts will be reversed and the PO will be flagged as ‘Closed’.  The purchase order will remain in the system for inquiry purposes.

 

Use the following steps to close a purchase order:

 

1. Click on the Business tab, click Purchasing, and select PO Management.

 

2. If applicable, enter the PO Number.

 

 

3. If applicable, enter the Requisition Number.

 

4. If applicable, enter the Vendor Number.

 

5. Click on the Search button. The purchase order(s) that meet the search criteria will be retrieved and displayed in the grid.

6. Click on the Select Batch button to create or select a batch.

7. Click on the Action drop-down menu beside the corresponding PO and select Close. The Please Confirm Purchase Order Close dialog box will be displayed.

 

 

8. Enter a note in the Note field.

 

          

 

          9. If applicable, in the Requisition Note section, click on the Note Type drop-down menu to select an option.

 

10. If applicable, enter a note in the Note field.

 

11. Click on the OK button to confirm PO close or click on the Cancel button to cancel the purchase order close process.
