How to Activate/Deactivate Multiple G/Ls

 

Multiple G/L accounts that have no pre-commitment and/or commitment balances may be flagged as Deactivated; any data entry to the accounts will be prohibited. Deactivated G/L accounts may be reactivated.

 

Use the following steps to activate or deactivate multiple G/Ls:

 

1. Click on the Business tab, click General Ledger, and select G/L Account Management.

 

Note: The Session Accounting Year field will display the current year the user is signed in to.

 

2. If known, enter the Account Number.

 

 

3. Click on the Search button. The G/L account will be retrieved in the grid.

 

Note: If necessary, perform an advanced search. Refer to Advanced Search for more information on this section.

 

 

4. Select as many or as few G/Ls from the results displayed in the grid, by clicking the corresponding check mark beside each G/L ,or click the check mark at the top of the grid to select all G/Ls.

 

 

5. Click on the Group Actions drop-down menu and select one of the following: Reactivate All, Deactivate Selected, Deactivate All or Reactivate Selected. 

 

NoteReactivate All and Reactivate Selected actions will be available when inactive G/L accounts are selected. Deactivate Selected and Deactivate All actions will be available when active G/L accounts are selected.

 

If the selection includes G/L Accounts with pre-commitment and/or commitment balances, they will not be deactivated.

 

 

6. Enter a note in the Note field.

 

Note: Read all Warning! notes before proceeding.

 

          

 

7. Click on the OK button to complete the process or click on the Cancel button to cancel the Activate or Deactivate process.
