How to Create New Stock

 

New Stock items are created as a result of a purchasing tender agreement between the board of education and their tendered Vendors. Stock items are a prerequisite for creating requisitions in the Shopping Cart. There are other prerequisites for Stock, which must be created before entering a stock item:

Stock items are attached to groups, which are created in the Settings/Code Management function.

Applicable tax drop down items are created in Settings/Tax

The three description fields are governed by the Settings/Purchasing System/Requisition Master. To save a stock item, at least one description must be added.

 

Attributes: Are a way to create one stock number that has multiple options. Example: Ordering paper from a supplier; the board selects different colours of paper and different sizes. Rather than creating other stock items, they can create an attribute for the colours and an attribute for the sizes. The attribute selections are created in the Create New Stock form. Once created, the user must select the attributes in the shopping cart in order for the item to be added to the cart.

 

Tender Information: Tender Expiry date must be greater than todays date.

 

Use the following steps to create a new stock item:

 

1. Click on the Business tab, click Stock, and select Stock Management.

 

2. Click on the Create New Stock button.

 

 

3. In the Add Stock Item screen, enter the Stock Number.

 

 

4. Click on the Stock Group drop-down menu to select an option.

 

Note: To remove the Stock Group information, click on the Delete button.

 

5. If applicable, in the Applicable Tax section, include information for any of the following fields : Discount, HST, Unused and/or Other by clicking on the drop-down menu and selecting an option.

 

6. If applicable, click on the Select Image button to add an image of the stock item.

 

Note: To remove the image, click on the Remove button.

 

7. Click on the Buyer Code drop-down menu to select an option.

 

8. If applicable, click on the calendar icon to enter the Issue Date.

 

9.  If applicable, click on the calendar icon to enter the Date Received.

 

10. Enter the Purchase Measure.

 

11. If applicable, enter the Issue Measure.

 

12. If applicable, enter the E.O.Q. (Economic Order Quantity).
 

13. If applicable, enter the Last Purchase Price.

The price the goods were purchased at.

 

14. If applicable, enter the This Issue Price.

The This Issue Price may be system calculated once all other data has been updated. Otherwise, enter the price at which these items will be issued.

 

15. If applicable, enter the Next Issue Price.

The Next Issue Price may be recorded so that a global update can occur, when necessary.

 

16. Enter the Brand Description.

 

17. Enter the Catalogue Description.

 

18. Enter the Product Description.

 

19. If applicable, enter Internal Notes.

 

20. If applicable, in the Attributes sections, click on the Edit Attributes button to edit the stock attributes.

If

Then

Edit Attributes button is selected

1. In the Stock Attributes dialog box, enter a Category name and click on the Add Category button.

 

 

2. Enter an Attribute name and click on the Add Attribute button, or click on the Cancel button to exit the stock attributes dialog box without saving any changes.

 

Note: Add as many or as few Categories and Attributes as necessary.

 

 

3. Click on the Accept button.

 

4. Proceed to Step 21.

If Edit Attributes is NOT selected

1. Proceed to Step 21.

 

21. If applicable, select the Work Management Type selection box.

 

22. If applicable, in the Tender Information section, enter the Tender Number.

 

 

23. Enter the Vendor Number or click on the Search By Vendor button.

24. Enter the Price.

 

25. Click on the calendar icon to enter the Tender Expiry Date.

 

26. If applicable, in the Attachments section, upload new files.

27. Click on the Save button, or click on the Cancel button to return to the Stock Management screen without saving changes.
