Understanding Fields

 

Within the K212 Finance Application, there are a number of different types of fields the user will be seeing and using.

 

Some of the Fields the user will see are:

Mandatory Fields

Drop-down Menus

Date Fields

Text Entry Fields

Information Icon Fields

Greyed Out Fields

Read-Only Fields

Wild Card Search Fields

Auto-Complete Fields

New Note Fields

Mandatory Fields

 

These fields are highlighted in yellow and require information to be input before the user can save the information on the page. The system will generate an error, if the field has not been completed and the user attempts to move on, the buttons will not be available to continue if all mandatory fields in that screen have not been entered.

Drop-down Menus

 

By clicking on a drop-down field a drop-down menu will display with options to fill the field. Any field with a drop-down arrow will display a drop-down menu list.

 

Single Select:

 

Some drop-down menus will allow for the selection of multiple options. Use the Search field to enter specific information, use the Select All button to select all available options, or use the Select None button to remove all selected options.

Date Fields

 

These fields will have a calendar icon at the end of the field. By clicking on the calendar icon, a calendar will appear where the user can choose the year, month and date needed. For convenience, the user can click on the Today button in the lower left corner of the calendar to save them from having to search for the current date. Click on the Clear button to remove any contents that may be already in the date field, or click on the Close or Done icon to exit the calendar, without selecting a date. The date can also be manually typed in the standard format: (year/month/day, YYYYMMDD format: e.g. 20170124 or YYYY/MM/DD, For example: 2016/08/09).

Text Entry Fields

 

These fields allow the user to manually enter information. The text can be modified, and if it is not mandatory can be left blank. Some text fields range in length and will advise the user of the number of characters allowed in that field, if too many have been used.

Information Icon Fields

 

These fields will provide more information on the selected item, within the field. By clicking on the Information icon, a dialog box will appear with further related information.

 

 

 

Greyed Out Fields

 

These fields will be shown in a grey shading and are not available for information input. If the cursor is hovering over the field, this symbol  will indicate this field is unavailable. If specific criteria are used in other fields or a selection is made related to that field, the field may become available, or pre-fill information.

Note: If the Requisition radio button is selected, the field would then become available to input information.

Read Only Fields

 

These fields can not have any changes made to them. They are for read-only purposes and are often seen in Inquiry screens.

Wild Card Search Fields

 

This feature is available in some fields to allow the user to find matching combinations or character patterns between the characters specified in the field and the search. Select the wild card drop-down menu and select one of the following option: Starts with, Contains or Ends with. This allows the user to refine the search without having exact information.

Matches any number of characters. You can use the asterisk (*) anywhere in a character string.

wh* finds what, white, why, etc., but not awhile or watch.

 

*ul* finds multiple, careful, etc.

 

Pl* finds plastic, plate, place, etc.

 

*nk finds pink, shank, rethink, etc.

Auto Complete Fields

 

These fields propose values when the user enters data. By typing a letter or number, suggested options matching what is entered in the field will display below, and the user can select one of the options. The auto-populate field will only display 10 suggestions at a time. To refine the search, continue to enter more letters and numbers related to the search. This process can help the user find what is needed without knowing the exact data.

New Note & Notes History Fields

 

The New Note field displays when new information or changes are being made to existing information. These fields are mandatory and the user will not be able to proceed, without filling out information in this field. When the note has been saved, the information will be stored in the Notes History field which is read-only and can be helpful to reference at a later time.
