New Students:  Enrolment, Demographic and Address Information

At the start of the new school year, and throughout the year, a file containing the new students to your school must be sent to SDS so that they are aware of the student's enrolment at your school.  If a Saskatchewan Learning ID (aka DEN#) is not entered in Maplewood, once this file is sent to SDS, new DEN#s are returned in the response file and automatically applied to the students when the response file is proceed by Maplewood.   

Before creating this file for SDS, refer to the New Students: Enrolment, Demographic and Address Information File Description. This information must be accurate before commencing with this process. 

To create the file containing the student information, 

  1. Choose Reports, SDS Data Transfers, Send Information to SDS.
  2. Choose the New Students: Enrolment, Demographic and Address Information option.
  3. Enter an entry date to this school.  Any students with this date or later in their "Entry date to this school" will be included.  This date should correspond to the last time you sent new students to SDS.
     
  4. Generally, the "Include students pre-registered for next school year (status is next year only)" is NOT checked, however some schools like to send this in the spring to request Learning IDs (DEN#s) for new students.  SDS will accept future entry dates up to 1 year in advance.
  5. Select Create button. 
  6. Select the Save button to save it using the defaulted name and location.  We suggest that you view the contents of the resulting file to ensure that it appears to contain the desired information.

This creates the file NEW1234567_yymmddhhmm.XML in the Maplewood\Export\Realtime or Batch folder (where 1234567 is the school number, yy is the year, mm is the month, dd is the day, hh is the hour, and mm is the minute).  

If students are found with missing data for key pieces of information, a listing of affected students will appear with a column labelled "Tag with missing value" (the "tag" is the name of the field in the SDS system). Before sending the file to SDS, enter the missing information into the students' records and then recreate the file again. If students are missing key pieces of data, errors will result when the file is processed by SDS.

To transfer the file to Saskatchewan Learning’s SDS through the internet: 

  1. Select the Send button. The correct file should be defaulted, so select Open.
  2. If this message appears, 

    "Due to the smaller size of this file, it may be submitted to SDS right now (Real-Time). Select OK to send the file and then wait while your file is being processed by SDS. Another message will appear once it has been processed."

    select OK then wait for the file to be processed. If a message is returned indicating that the file was successful, go to step 4 to see the new DEN#s returned from SDS.  If errors are returned, either continue to step 4 to import the DEN#s, or correct the data and resend it (the DEN#s will be returned again).
  3. If this message appears: 

"Due to the larger size of this file, it cannot be submitted automatically to SDS. Proceed to the SDS website to submit the file through the SDS Electronic File Transfer option. When the file is processed and SDS generates a Response File, it may be saved for use in Maplewood's Import Response File from SDS option."

go the SDS website and use the Electronic File Transfer option to send the file. Periodically check the SDS website until your file is processed. Once the file status is successful, the response file must be saved so that new DEN#s may be automatically applied to the students in your Maplewood data. To do this,

  1. Right select the link for the response file (e.g. rNEW1234567_yymmddhhmm.XML).
  2. Select Save Target As and save the file in the Maplewood IMPORT folder (e.g. admin\import).
  3. In Maplewood, use Reports, SDS Data Transfers, Import Response File from SDS and open the response file from the IMPORT folder.
  1. When the response file is processed by Maplewood, the following message will appear if new DEN#s have been assigned: "SDS has proceeded the file and has returned updated information for your records. The new values have been automatically applied to your data. Select OK to see the changes."

Select OK to see the changes. The DEN# is referred to as the tag called "DepartAssignedPersonalID", and the old and the new DEN# will appear as follows:

The DEN# for the listed students will now appear in their student records. Select the Print button if you want this information printed for reference.

  1. If errors result were included in the response file, make any necessary corrections, recreate the file, and then resend it following the steps above.

SchoolId

Required.  The department-assigned number of the school the enrollment is for.  This is the school number as shown in File, School Setup, School Information.  If the school number is incorrect, contact Maplewood.

Required.  The elements in this section are used to enroll a student in a school or to update school enrollment information. Details on the 2.6 elements are provided below.
 

DeptAssignedProgramID

Optional.  If a program is entered for the student, and the student is a base student at this school, the file will contain the department-assigned number of the program the student is enrolling in.  The following program codes are valid:
 

10 = Regular Program (English)

11 = Fransaskois Program – Francophone bilingue

12 = French Immersion/Bilingual Program

05 = Alternative Education Program (English)

06 = Alternative Education Program (French) - Le Programme d'éducation alternative

07 = Functional Integrated Program (English)

17 = Functional Integrated Program (French) - Programme intégré fonctionnel

09 = Adult Secondary Program (English)

16 = Adult Secondary Program (French) - Éducation des adults

18 = Alternative Adult Secondary Program (English)

15 = Special Education Program (for students up to grade 9)

 

The student’s program is recorded in the Language Program field accessed by the Enrolment tab, Edit, Other Fields tab.

The Language Program table, is a user defined table that can be accessed by selecting, Students, Custom Fields/Tables, Enrolment Tables, Language Programs.  The MIN# in the table must correspond to the program ID.
 

ProgramEnrollmentInfo

Optional.  If a start date for the program is entered for the student, and the student is a base student at this school, the file will include the effective start date of the program enrollment. The start date is recorded in the Language Program area access by the Enrolment tab, Edit, Other Fields tab of the student’s record.

Dept Assigned PersonId

The Learning ID Number assigned by The Ministry of Education.  In Maplewood, the student’s DEN# is the Learning ID and it is found on the Enrolment tab of the student’s record.

If the school does not have the student’s Learning ID Number at the time it enrolls the student, the Ministry of Education will return the Learning ID in the response file.  When the response file is processed by Maplewood, the Learning ID will be automatically entered into the student’s record.
 

Birth Date

The student’s date of birth (on the biographics tab of the student’s record).

School Assigned Person Id

 

Optional.  The student number assigned by the school.  In Maplewood, the student’s number is found within the Name button on the Biographics tab of the student’s record.
 

HSN

Optional.  The student’s Saskatchewan Health Services Number.  In the student’s record, edit the Emergency tab to find the Insurance Number.
 

Name

Optional and Repeatable.  If the student’s Surname differs from the Legal Surname, the Name attributes (listed below) will included for the Legal and Alias name types.
 

Type

One of two types will appear:
  Legal – Student’s current legal name.  Maplewood will use this type for all students.
  Alias – Student’s Alias which is any current or previous name by which the individual is or was known by.  Maplewood will use this only if the student has a surname that is different from the legal surname.
 

Last Name

If the name type is Legal, it will send the student’s last name as recorded in the student’s legal surname field, if it exists, otherwise it will use the surname field.  Names are edited using the Name button on the Biographics tab of the student’s record.

If the name type is Alias (only applicable if the student has a legal surname), it will send the student’s surname field.
 

First Name

The student’s Given Name (accessible using the Name button on the student’s biographic tab).
 

Middle Name

The student’s Middle Name(s) (accessible using the Name button on the student’s biographic tab).
 

Suffix

Currently not stored in Maplewood.
 

Preferred Name

The student’s Usual Name(s) (accessible using the Name button on the student’s biographic tab).
 

Email

Optional and Repeatable.  The element below is used to provie the student’s email address(es).
 

Type

One of two types are available however Maplewood will always use Primary as student have only one email address:
  Primary – Student’s primary email address.
  Alternate – Student’s alternate email address.
 

Demographics

Optional however this is always included in the New Students file.  The elements below provide the student’s demographic data.  
 

Gender

M or F will be sent.  Gender is found within the Edit button on the student’s Biographics tab.  Maplewood does not currently support Gender U for Unknown.
 

Country Of Birth Code

The student’s country of birth is found within the Edit button on the student’s Enrolment tab (field is called Place of Birth).  The code will be the MIN# entered in the table found under Students, Custom Fields/Tables, Enrolment Tables, Place of Birth/Origin.

Country Of Citizenship Code

The student’s country of citizenship is found within the Edit button on the student’s Enrolment tab (field is called Citizenship).  The code will be the MIN# entered in the table found under Students, Custom Fields/Tables, Enrolment Tables, Citizenship.
 

Country Of Origin Code

The student's country of origin is found within the Edit button on the student’s Enrolment tab (field is called Place of Origin). Note:  This field is required for students who have a Tuition Status other than Interdivision Tuition or NA.  The code will be the MIN# entered in the table found under Students, Custom Fields/Tables, Enrolment Tables, Place of Birth/Origin.
 

Language Code

The language(s) the student uses in the home as entered in the Language Spoken field (Enrolment tab, edit, Other Fields tab, Language Spoken (up to 2 may be selected).  The code will be the MIN# entered in the table found under Students, Custom Fields/Tables, Enrolment Tables, Languages.

Deceased Code

Yes or No.  Not applicable in the New Students file.  In the Deleted Students file, if a student's Enrolment Result (on the Enrolment tab) is code 17 Deceased, then Yes will be sent, otherwise the element is excluded from the file.
 

Effective Date

Death date or date death was known.    Not applicable in the New Students file. In the Deleted Students file, if a student's Enrolment Result (on the Enrolment tab) is code 17 Deceased, then the student's retirement date will be sent, otherwise the element is excluded from the file.
 

Aboriginal Status Code

The code of the student’s aboriginal status, if applicable:
 

Treaty = Treaty/Registered/Status Indian

NS = Non-Status Indian

Metis = Metis

Inuit = Inuit/Inuk


From the student’s record, Enrolment tab, select Edit, Aboriginal tab, Aboriginal Status field in the Provincial frame (not in the Federal section).   The code will be the MIN# entered in the table found under Students, Custom Fields/Tables, Enrolment Tables, Aboriginal Status.
 

Treaty Status Number

(Band schools only).  The student’s treaty status number, if applicable, as entered in student’s record, Enrolment tab, select Edit, Aboriginal tab, Treaty Number field.

 

Note: Funding Type must be Native and Native Operation must be Band Operated. In order for information to be sent in the file extract. This can be found under File, School Setup, School information, on the Configuration tab.
 

Treaty Status Start Date

Optional.  Not currently available in Maplewood.  Effective start date of the treaty status number.  It will default to the date of the XML if not specified.
 

Treaty Status End Date

Optional.  Not currently available in Maplewood.  End date of the treaty status number.
 

Band Affiliation

(Band schools only).  The student’s band affiliation, if applicable, as entered in student’s record, Enrolment tab, select Edit, Aboriginal tab,

Band of Residence.  The band number of the student’s band of residence will be sent in the file.  The band numbers must be entered in the MIN# of the band in the table found under Students, Custom Fields/Tables, Aboriginal, Bands.
 

Band Affiliation Start Date

Optional.  Not currently available in Maplewood.  Effective start date of the band affiliation.  It will default to the date of the XML if not specified.
 

Band Affiliation End Date

Optional.  Not currently available in Maplewood.  End date of the band affiliation.
 

Reserve Residency Code

(Band schools only).  The student’s reserve residency, if applicable:

 

On = Living on reserve

Off = Living off reserve

 

In the student’s record, Enrolment tab, select Edit, Aboriginal tab,

Reserve of Residence.  ON will be sent if the MIN # of the Reserve is 1 or 2.  Any other MIN # will be sent as OFF.  Typically, this table should be set up with MIN # 3 = Living Off Reserve.  The table of reserves is found under Students, Custom Fields/Tables, Aboriginal, Reserves.
 

Reserve Residency Start Date

Optional.  Not currently available in Maplewood.  Effective start date of the reserve residency.  It will default to the date of the XML if not specified.
 

Reserve Residency End Date

Optional.  Not currently available in Maplewood.  End date of the reserve residency.
 

Student Address

Optional however this is always included in the New Students file.  The elements below provide the student’s address for each address type. 
 

Address Type

Four possible address types are defined by SDS as follows:

 

1. Mailing = the permanent mailing address (the address accepted by Canada Post to deliver mail to the student's home student)

 

2. TempMailing = Temporary mailing address (the address accepted by Canada Post to deliver mail to a student at a mailing address that is not the student's permanent home address)

 

3.  PhysicalMun = Permanent physical address – municipality

 

4.  PhysicalLand = Permanent physical address – land location

 

Every student should have at least one address in the SDS file generated by Maplewood, and it is the given the address type "Mailing". A valid mailing address must contain a city, province, postal code, and at least one of a street name, PO Box, or RR number (as entered into those fields in Maplewood). Any students without a valid mailing address will appear with the warning “Mailing – Missing mailing address”. The Mailing address type is determined as follows:

• For most students, this address information will come from the student's address.


• For those other students who are temporarily living away from home to attend your school, please enter their home address in the Permanent Address area in Maplewood. For these students, the "Mailing" address type will use the permanent address information, providing it contains a valid address. Then, the student's local address (while attending your school) should be entered into the student's address (this will be the “TempMailing” address as explained below).


Most students should also have a second address type depending upon the student's situation:

TempMailing”: This address type will be used if the student has a valid permanent address, and the permanent address is not flagged as “same as student”. For these students, the student's local address (as entered in the student's address) will be sent in the TempMailing address type if it is a valid Saskatchewan address.

or

PhysicalLand”: If the student's address contains Quarter, Section, Township, Range, and Meridian information, then this information will be sent in the PhysicalLand address type.

or

PhysicalMun”: If a student's address does not contain Quarter, Section, Township, Range, and Meridian information, but the student's address does contain City, Province, and Street Name, then this information will be sent in the PhysicalMun address type.

A student will have only one of the TempMailing, PhysicalLand, or PhysicalMun address types, in addition to their Mailing address type.
 

Address Start Date

Optional.  Not currently available in Maplewood.  Effective start date of the address.  It will default to the date of the XML if not specified.

Country Code

Family, Edit, Country. If a country is entered, the spelling of the country must exactly match a valid country in Appendix A:  Country, Language and Province/State Codes in SDS’s XML Specifications document.  The country will be automatically sent using the appropriate code.
 

Postal Code

Family, Edit, Postal Code.  Required for mailing addresses but not physical addresses.
 

Phone Number

Family, Edit, area code and phone number in the student’s contact information.  It is typically formatted as (###)###-#### in the file.
 

Phone Number Format

The format type will be typically NA = North American.

If the fomat is in a different format, it will be sent  with the type FF = Free Form.

 

After removing any brackets ‘()’ and ‘-‘ and spaces, if the phone number length is 10 then it is considered North American otherwise it is Free Form.
 

Phone Number Type

The only type available, and therefore always sent in the file, is:

Home = home telephone number.
 

Phone Number Start Date

Optional.  Not currently available in Maplewood.  Effective start date of the phone number.  It will default to the date of the XML if not specified.
 

Phone Number End Date

Optional.  Not currently available in Maplewood.  Effective end date of the phone number.
 

Saskatchewan Resident

Yes should be sent if the student is a Saskatchewan Resident. No should be sent for students Non-Saskatchewan Residents.

 

Yes will be sent if the student has the Saskatchewan Resident check box checked (found in the student’s record under Enrolment, Edit). *

 

Yes = Saskatchewan Resident – refers to a student who is a permanent resident of Saskatchewan, or whose legal guardian is a Saskatchewan resident.

For example:

- Student lives with their non-parent relatives who are Saskatchewan residents and the non-parent relatives have legal guardianship over the student.

- Student is an immigrant/refugee to Canada, not yet a Canadian citizen, and is living in Saskatchewan with their family/legal guardian who are Saskatchewan residents.

- A student who lives with their parents and the parents are Saskatchewan residents.

No = Non-Saskatchewan Resident – refers to a student who is not a permanent resident of Saskatchewan and whose legal guardian is not a Saskatchewan resident.

For example:

- Student lives with a friend/family member and their parents live outside of the Province of Saskatchewan. The out-of-province parents continue to have guardianship over the student, not the family the student is living with.

- Student lives in Manitoba or Alberta and crosses the border to attend a Saskatchewan school

 

* Non-Enterprise Schools do not have the SK Resident field and therefore, the student will be No under any one of the following conditions:

1. student's address has a province other than SK (Saskatchewan or SK).
2. student's permanent address has a province other than SK (Saskatchewan or SK).

 

Is Resident

Yes will appear if the Resident Type field contains Not Applicable (code NA).  Resident Type field is found in the student's record under Enrolment, Edit).

No will appear if the Resident Type field is a value other than Not Applicable.
 

Is Resident Code

The code of the Resident Type field (found in the student's record under Enrolment, Edit):

REF = Refugee
PM = Permanent Resident
TR = Temporary Resident
SVV = Student/Visitor Visa
NA = Not Applicable  

Note:  
This field is enabled at the student's home school only (e.g. disabled if the student is concurrent). As per the SDS rules, the following checks are made during the data entry:

i) If student is a Canadian Citizen, Resident Type must be N/A. (Maplewood validation message: Please change the student's Resident Type. Student's Citizenship is set to Canadian Citizen, the Resident Type must be 'Not Applicable'.)

ii) If student has a relationship of type 'base' and is a Saskatchewan Resident, the Resident Type must be Refugee, Permanent Resident, Temporary Resident, or N/A. (example Maplewood validation message: Please change the student's Resident Type. This is the student's Base School and the student is SK Resident, the student cannot have resident Type set to 'Student/Visitor Visa')

iii) If student is not a Saskatchewan Resident the Resident Type must be Student/Visitor Visa or N/A. (example Maplewood validation message: Please change the student's Resident Type. Student is not SK Resident, Resident Type can only be 'Not applicable' or "Student/Visitor Visa'.)
 

Start Date

Maplewood does not populate this field but SDS will default to the date of the XML.
 

End Date

Maplewood does not populate this field.
 

 

 

School Enrollment Info (XML Elements 2.6)

 

The elements below are used to enroll a student in a school or to update school enrollment information.

 

School Enrollment Info Elements

Description/Notes

Membership Type

Relationship of student to the school.  There are two possible values:

Base = Base School.  This is the school where the student receives his/her program and counselling. The student is "counted" for enrolment purposes.  In the student's record, go to the Enrolment tab. Select Edit. In the Residency section, put a check mark in the "This is the student's Base School" box.

 

Other = Other School (aka non-base school).  The student attends this school for part of a student's program and is not "counted" for enrolment purposes. In the enrolment tab of the student's record, if there is no check mark in the "This is the student's Base School" box, the school is considered the non-base school.
 

Entry Date

The date from when this enrolment is valid (student's record, Enrolment, Edit, Entry Date to This School).
 

Entry Type Code

The reason for the student's enrolment into this school.

 

If the student's entry date to this school is on or after the school's start date, then it will send the student's enrolment reason code, as entered in the student's record (Enrolment tab, Edit, Enrolment Reason).  The MIN# of the student's reason must match one of these codes:
 

01 = Transfer from another Saskatchewan school

03 = Transfer from out-of-province schooling within Canada

10 = Transfer from out-of-country schooling

13 = Transfer from home-based in Saskatchewan

16 = Readmission (student has already completed grade 12, or student voluntarily discontinue or was expelled from his/her previous school)

18 = New (no previous schooling anywhere)

50 = Exchange student

99 = Not base school

 

If the student's entry date to this school is before the school's start date, then it will ignore the student's enrolment reason and send code 15.

 

15 = Continuation of enrolment at the same school (this student already has an active enrollment record at this school in the Ministry of Education's database)

 

The code values must be entered in the MIN# of the Enrolment Reason table found under Students, Custom Fields/Tables, Enrolment, Enrolment Reason. Some schools include code 15 in their tables for reference purposes, however, typically student's don't ever need to use this code since it is automatically sent if the student is not new to the school.

 

Grade Code

The student's grade in the current school year, based on the grade field in Maplewood (student's record, Biographics tab, This Year's Grade).  Valid Grades in SDS are PK, 0K, 01 to 12. 

 

Grade J or P or N (Junior Kindergarten/Pre-Kindergarten/Nursery) in Maplewood = PK in SDS (Pre-kindergarten - age group 2 ½ to 5 year olds)
 

Grade K (Kindergarten) in Maplewood = 0K in SDS (age group 4 to 7 years old)


Students > Custom Fields/Tables > Table of Grades is used to add any grades not already available in Maplewood. Leading zeros are automatically added in the SDS file (e.g. grade 1 in Maplewood would be sent as 01 in SDS).

 

Pre K Space Info - Ministry Designated

This Yes/No tag element is only provided for students in PreKindergarten (grade J or P or N in Maplewood), for Maplewood Enterprise only.* 
 

Yes =  the student is enrolled in a designated Prekindergarten program which receives funding through the Ministry of Education Prekindergarten Program allocation.  In the Enrolment tab of the student's record, a check mark appears in the Ministry Designated Space check box.


No =  the student is not enrolled in a designated Prekindergarten program which receives funding through the Ministry of Education Prekindergarten Program allocation.  In the Enrolment tab of the student's record, a check mark does not appear in the Ministry Designated Space check box.

 

* Note:  Since Maplewood does not include these fields in the files for non-Enterprise schools, any file that is submitted to SDS that contains the student's grade (e.g. New Students and School Enrolment files) will cause SDS to set the Ministry Designated space to Yes, Shared Space will be set to No, if the student is prekindergarten.  Please keep this in mind if you manually make changes directly on the SDS site (e.g. make the changes AFTER you submit the new students and School Enrolment files).

 

Previous Prov State

The province from which the student transferred, if applicable.  The student's previous province/state is sent (Enrolment tab of student's record, Edit, Previous Province/State - note this field is only enabled when the student's Place of Origin is set to Canada or USA).
 

Previous Country

The country from which the student transferred, if applicable.  The student's Place of Origin is sent (Enrolment tab of student's record, Edit, Place of Origin).
 

Exit Date

The ending date of this enrolment, based on the student's Retirement Date (Enrolment tab of student's record, Edit, Retirement Date).
 

Exit Type

The reason the student has left the school.

 

If the student's status is Deleted, it will send the student's enrolment result code, as entered in the student's record (Enrolment tab, Edit, Enrolment Result).  The MIN# of the student's reason must match one of these codes:

01 = Transferred to another Saskatchewan school

03 = Transferred to out-of-province schooling within Canada

10 = Transferred to out-of-country schooling

12 = Completed Functional Integrated Program

13 = Transferred to home-based in Saskatchewan

15 = Completed schooling

17 = Deceased

18 = Discontinued schooling, with a reason of "health reasons"

19 = Expelled

21 = Discontinued schooling, with no reason

24 = Discontinued schooling, with a reason of "other education"

50 = Discontinued schooling, with a reason of "employment"

52 = Discontinued schooling, with a reason of "dissatisfied with school"

53 = Discontinued schooling, with a reason of "other reason"

54 = Discontinued schooling, with reason of "non-attendance"

60 = Enrolment cancelled/no show

61 = Discontinued schooling, with a reason of "monitored"

 

The code values must be entered in the MIN# of the Enrolment Reason table found under Students, Custom Fields/Tables, Enrolment, Enrolment Result.

 

Immersion Type Code

The type of immersion the student is enrolled in, based on the Immersion Type field in the student's Enrolment tab (Edit Enrolment, Other Fields tab, Immersion Type).  The type defines students receiving instructional time of at least 50% in either Cree, Ukrainian or French.

CR = Cree Immersion

UK = Ukrainian Immersion

FR = French Immersion

NA = Not applicable (this is what will appear in SDS when the field is not found).

 

Note:  This is not the same as Program Enrolment. There are 2 fields that identify a student as an immersion student.  The Program Enrolment determines the program the student is enrolled in according to the Core Curriculum Credit Requirements Policy.  The second area is the Immersion Type.  Both fields need to be specified for immersion students.  The new students file sends the program enrolment information at the start of the file in the ProgramEnrollmentInfo element.

 

Homebound Code

Indicates whether the student is Home Bound or not.  Home Bound Student refers to a student who is receiving their education from a school/school division but is unable to physically attend a school.

 

Yes =  the student is home bound. In the Enrolment tab of the student's record, a check mark appears in the Home Bound check box.

 

No =  the student is not home bound. In the Enrolment tab of the student's record, a check mark does not appears in the Home Bound check box.  SDS will default No if this element is not provided.
 
  

Cumulative Folder Code
 

Indicates whether the student's Cumulative Folder is located at this school.   In the Enrolment tab of the student's record, on the Other Fields tab, there is a check box called Cumulative Folder.

 

Yes =  school has Cumulative Folder if the Cumulative Folder check box is checked.

 

No =  school does not have Cumulative Folder if the Cumulative Folder check box is not checked.

 

Note:  The Cumulative Folder check box is an Enterprise only field, and therefore the field is calculated as follows for non-Enterprise schools:

 

Yes =  school has Cumulative Folder. In the Enrolment tab of the student's record, on the Other Fields tab, a date exists in the "Student Record Request:  Received by this school" field.  Note:  this field can be set annually (e.g. for new students) using Assign All of a Field.

 

No =  school does not have Cumulative Folder. SDS will default No if this element is not provided (e.g if a date is not entered in Maplewood).
 

Tuition Status - Code

Indicates if the student has an exception to the provincial tuition status, based on the entry in the Tuition Status field on the Enrolment tab of the student's record.  SDS defaults NA if element is not provided.  The following codes are valid:

FE = Foreign Exchange

FE = Foreign Exchange

FT = Foreign Tuition

RE = Reciprocal Exchange

LA = SK-AB Lloyd Agreement
PA = Other provincial Agreement

NA = Not Applicable


 

Organization Affiliation – School ID

The department assigned number of the student's affiliated organization (should only apply to a small number of students). The field called Affiliation is available in the Residency area of a student's Enrolment tab.  In order to limit the entry of an Affiliated Organization to very special circumstances, this field will be disabled and only enable if the user presses ALT and M simultaneously. 

 

This field is available to Base students and allows the user to select another division, regional college or First Nations organization that is affiliated with this student for the delivery of services for the current school year.  The division ID (number) is defined in File, School Setup, Divisions.

Clarification from the Ministry of Education:  This field will be used to capture those students attending a school that is located outside the jurisdiction of their home address but still in the province of Saskatchewan. The school that is enrolling the student is responsible for adding the organization affiliation. By having this field filled in, the affiliated organization will have access to see certain data regarding this student.

 

For example:

- Student lives within the Prairie Valley School Division, but attends a school in a Regina School Division. The enrolment would show an affiliation of Prairie Valley School Division.

- Student lives at Standing Buffalo First Nation and attends a school within the Prairie Valley School Division. The enrolment would show an affiliation of Standing Buffalo First Nations.

 

HomeRoom – Educator Certificate Number

Required for students in grades PreKindergarten to 9 (it is not applicable for students in grades 10 to 12). If the student is assigned a homeroom this year (Biographics tab of student's record), then the homeroom teacher's "Educator Cert. #" field (as entered using the Name button on the staff record) will be sent.
 

Homeroom - Homeroom Identifier Required for students in grades PreKindergarten to 9 (it is not applicable for students in grades 10 to 12).  If the student is assigned a homeroom this year (Biographics tab of student's record), then the homeroom designation is sent in the file.  If there is no designation defined for a homeroom, the homeroom number is sent.  Homerooms are defined in File, School Setup, Room/Homerooms.
