How to Modify a User Group

 

Use the following steps to modify a user group:

 

1. Click on the System tab, click Security, and select User Group Management.

 

Note: When accessing the User Group Management screen all active user groups will be auto-populated and displayed in the grid. If necessary, perform a user group search. For step by step instructions, refer to How to Search for a User Group for more information on this process. 

 

2. Click on the Action drop-down menu beside the corresponding user group and select Modify.

 

 

3. If applicable, in the Edit User Group screen, under the User Group Information section, click on the Roles drop-down menu to select an option(s). Use the Search field to enter specific information, use the Select All button (selected by default) to select all available options or use the Select None button to remove all selected options.

 

Note: The Name and Description fields will be unavailable and read-only.

 

 

4. If applicable, in the Users section, enter or update a full user name or a partial name and select from the options that display.

Based on the setting this field may not be able to be updated.

 

5. If applicable, in the Security Access section, click on the Year Change Access drop-down menu to update one of the following options: Inherited, Full, None or Custom.

Inherited means this information will come from another profile and based on that profiles settings the Year Change will correspond. If Full is selected, the Year Change selection box will be auto selected, if None is selected, the Year Change selection box will not be available and left empty and if Custom is selected, the Year Change selection box will be available to select or deselect.

 

 

8. If applicable, click on the Period Variance Access drop-down menu to update one of the following options: Inherited, Full, None or Custom.

Inherited means this information will come from another profile and based on that profiles settings the Period Variance [+/-] fields will correspond. If Full is selected, the Period Variance [+/-] fields will prefill with information related to the board settings, if None is selected, the Period Variance [+/-] fields will not be available and left empty and if Custom is selected, the Period Variance [+/-] fields will be available to enter manually.

 

9. If applicable, click on the Location Access drop-down menu to update one of the following options: Inherited, Full, None or Custom.

Inherited means this information will come from another profile and based on that profiles settings the Locations and G/L Locations will correspond. If Full is selected, the Locations and G/L Locations will prefill with information related to the settings the board has chosen, if None is selected, the Locations and G/L Locations will not be available and left empty and if Custom is selected, the Locations and G/L Locations will be available. Click on the drop-down menus to select options.

 

10. If applicable, click on the Vendor Access drop-down menu to update one of the following options: Inherited, Full, None or Custom.

Inherited means this information will come from another profile and based on that profiles settings the Vendor Security Codes field will correspond. If Full is selected, the Vendor Security Codes fields will prefill with information related to the settings the board has chosen, if None is selected, the Vendor Security Codes field will not be available and left empty and if Custom is selected, the Vendor Security Codes field will be available. Click on the drop-down menus to select options.

 

11. If applicable, click on the G/L Access drop-down menu to update one of the following options: Inherited, Full, None, G/L Locations Only or Custom.

Inherited means this information will come from another profile and based on that profiles settings the G/L Access will correspond. If Full, None or G/L Locations Only is selected, the Edit G/L Access button will not be available and if Custom is selected, the Edit G/L Access button will be available to select. Refer to How to Use G/L Access Editor for further information on this feature. 

 

12. If applicable, click on the Operation Access drop-down menu to update one of the following options: Inherited, Full, None or Custom.

Inherited means this information will come from another profile and based on that profiles setting the Operation Access will correspond. If Full, None or G/L Locations Only is selected, the Edit G/L Access button will not be available and if Custom is selected, the Edit G/L Access button will be available to select. Refer to How to Use Operation Access Editor for further information on this feature. 

 

13. In the Notes section, enter a note in the New Note tab.

 

Note: Notes entered in this field will be saved and may be viewed in the Notes History section and are read-only.

 

 

14. Click on the Save button to save the changes made to the user group. A confirmation message will appear. Click on the Undo button to remove all input information and reset the fields to their default values, or click on the Cancel button to return to the User Group Management screen without saving changes.
