EASy - Employee Appraisal System Overview:

The Employee Appraisal System has been designed to compliment the Appraisal process, outlined by the Ministry of Education.  Although this system has been designed to utilize the standard forms provided by the Ministry, it also allows for the addition of custom forms.

 Employee Appraisal System Functionality:

Before adding Employee Appraisals to the system, HR must first define the Appraisal Form Types and Appraisal Type Codes in the Employee Appraisal sub system.

Once defined, these Appraisal Type Codes can be linked to the Employee by using the Employee Appraisal Maintenance function.

The Appraisal Status Report allows HR to view the Active Appraisals that are in progress or have not yet started, or those that have been completed but need follow up action.

The report is generated by Location with the option to send an Email Reminder to the school.

The flag to identify which school receives an Email Reminder is set at the school level, on the K212 Portal.

The Appraisal Date Rollover Process will roll Employee Appraisals forward on the Employee Appraisal Maintenance Screen and insert a new record for the next Appraisal Due.

The next Appraisal Code Due, is pre-defined on the Appraisal Code Maintenance screen.

The report generated is a list of all of those employees whose records have been updated. The Appraisal Cross Reference Update Process runs using today’s date, it accommodates for those employees whose position(s) may change during a period when an appraisal record is still open (e.g. a status of Active).

Records can be updated immediately or at a later date, both options generate the Employee Cross Reference Update report.

In the event that an Appraisal cannot be completed,  The Employee Appraisal Results option allows you to override incomplete appraisals to ensure that the process continues to move forward.

The number of forms and signatures required to complete an appraisal are pre-defined in the Appraisal Code Maintenance screen, Appraisal Type Codes and Appraisal Form Type Codes

These are then attached to an employee through the Employee Appraisal Maintenance screen.

If a Job Code or Appraisal Form ends with the Letter ‘C’, then that means it belongs to a Catholic School Board

Employee Appraisal System K212 Portal Functionality:

The Employee Appraisal List Status is available to the managers based on their user login and ID.  This option lists in summary by Location the Employee Appraisal information, including Employee details, Appraisal Dates and the Appraisal Status.  From this screen the manager will be able to link to the appraisal forms that have been assigned to them.  The manager can then review, update and sign the form.

The Employee Appraisal Details is only available to the employee and is based on user login and ID.  This screen displays the status and results of current and historical Appraisals, it gives the employee access to view, modify and electronically sign the Appraisal forms.
